Reptile Facility Maintenance Schedule

Life-support systems fail if they’re not maintained deliberately. This schedule converts daily husbandry chores into a full operations calendar that protects animals, staff, and equipment.

Applies to:
Zoos, aquariums, rescues, educational collections.

Tools:
CMMS or spreadsheet tracker, QR code checklists, spare parts bins.

Daily tasks

- Visual inspect enclosures: latches, glass integrity, substrate damp spots, standing water.
- Verify temps/UVB readouts against setpoints; note anomalies.
- Check life-support alarms and backup power indicators.
- Clean and refill water dishes; spot clean waste.
- Log observations in a shared system before end of shift.

Weekly tasks

- Deep clean selected enclosures on rotation (substrate stir/replace, wipe surfaces with appropriate disinfectant).
- Test misting/fogging nozzles for clogs; backflush if needed.
- Inspect heat mats, bulbs, and ceramic emitters for wear; replace dim units.
- Check redundancy: ensure backup heaters/pumps are functional.
- Audit tool sanitation: feeding tongs, hooks, buckets should be disinfected and dried.

Monthly tasks

- Calibrate probes and sensors (temperature, humidity, UV) with certified standards.
- Change HVAC filters and aquarium mechanical filters per manufacturer schedule.
- Inspect electrical panels and GFCI outlets for trips or corrosion.
- Review pest management logs; adjust strategies while avoiding harmful chemicals near animals.
- Update emergency kits (flashlights, radios, antivenom contacts) and replace expired items.

Quarterly/biannual tasks

- Service pumps and canister filters (impeller checks, O-ring replacements).
- Test generator or UPS under load; refuel and document run time.
- Review enclosure integrity (seals, mesh, hinges) and structural mounts for heavy rocks/branches.
- Inspect plumbing for leaks, scale buildup, and proper slope on drains.
- Conduct staff drills: power outage response, escape scenarios, fire evacuation with animal care.

Annual tasks

- Replace UVB bulbs and critical heat sources on a set calendar regardless of apparent output.
- Perform full-life-support audit with external specialists (HVAC, water quality, electrical).
- Review SOPs, update vendor lists, and restock bulk substrates and consumables.
- Evaluate infrastructure upgrades (lighting controls, sensor networks) and budget accordingly.
- Summarize incident reports to identify recurring failures and preventative fixes.

Spare parts & labeling

Maintain labeled bins for bulbs, fuses, O-rings, tubing, and gaskets. Label circuits, valves, and pump switches clearly so on-call staff can respond overnight. Use QR codes on enclosures that link to maintenance history, wiring diagrams, and supplier SKUs.

Documentation & accountability

Use a CMMS or shared spreadsheet with recurring tasks and assignees. Require sign-off with date/time stamps and photo evidence for critical items (UVB replacements, generator tests). Supervisors should review compliance weekly and run monthly reports to spot trends. Pair this with a culture that encourages staff to flag issues early without blame.

Sample weekly calendar

Monday: Deep clean Zone A, UV spot checks, misting nozzle flush.
Tuesday: Pump service checks, substrate rotation for burrowing species.
Wednesday: Electrical panel inspection, backup heater tests.
Thursday: Pest log review, enrichment station sanitation.
Friday: Generator under-load test, restock consumables.
Weekend: Light touch tasks + prepare for next week’s deep cleans.

Consistent maintenance is quiet work that prevents headline failures. With clear schedules and records, you protect reptiles, reduce emergency costs, and keep teams confident.
